Account records represent water services. Each Account record contains information on the water service. This information includes meter number, size, and location, service address, customer name and address, and water type, to name a few.

Water service accounts can one be three different types:

Each account record can have zero, one, or multiple associated backflow device or water hauler records. Accounts can be assigned to a non-potable site and/or facility.

Purveyor owned water service accounts are considered "In-House Accounts". These accounts get treated differently when performing enforcement actions. For example, backflow devices that are assigned to in-house accounts do not have their annual notices to test sent in the mail like the privately owned backflow devices.

Loading Account Records
In the Explorer Bar, selecting Accounts displays options for loading account records. These options include All, Potable, Non-Potable, In-House, Newest, and Search.

All, Potable, Non-Potable, and In-House are self descriptive and selecting these will load account records accordingly.

The Newest option allows the user to load only the newest account records (six months old or newer) into the accounts data grid. Records one month old or newer are displayed in the data grid in bold font.

Selecting Search will open a search screen for you to enter search criteria. Please see Finding Accounts for more information on searching the account records.

Visual Indicators in the Accounts Grid
Once account records are loaded into the data grid, several visual indicators inform the user of the account type and/or status.

For example, non-potable accounts are displayed with purple colored rows, accounts one month old or newer are displayed in a bold font, and account records associated with a pending violation or enforcement action are displayed in a red font.

Additionally, if the user has the appropriate security privileges, in-house records are modifiable. These records will be displayed on a normal font color (not grayed out).

Finding Accounts
The Search node of the Accounts tree within the Explorer Bar will open a Search Form that allows you to enter search criteria for finding a particular account or accounts.

Entering a whole or partial account number into the Account Number field in the Account Search form, and clicking on the Perform Search tool will query the database for matching records. All records that match the criteria entered will display in the Data Grid.

You can enter as much information into the fields within the Search Accounts form as you wish to help reduce the number of account records returned.

For Example, entering "Smith" into the Customer Name field and clicking Perform Search will return all the account records where the customer name includes the word "Smith". Doing the same, but also including the word "Main" in the Service Street field will return all the account records where the customer name includes the word "Smith" AND the service street includes the word "Main".

This helps you narrow down the number of records returned from the database and find the record(s) you are after.

Fields within the Account Search form that do not contain drop-down boxes can be partially populated, and the records returned will contain information that matches the partially populated information.

For example, entering only the letter "B" in the customer name field will return all records where the customer name includes the letter "B". The search criteria is not case sensitive, so entering "B" or "b" will return the same records.

Pending Violations / Enforcement Actions
Account records that contain a pending violation or enforcement action are displayed on the grid with a red font. To see why the record is marked in such a way, select the account record and click the Violations Tool in the accounts toolbar.

Doing so will display a screen that describes the pending state of the account. Clicking on the description will take you to the violation or enforcement action.
